Background:
The Vermont Brewers Association (VBA), a 501c6 nonprofit organization founded in 1995, promotes and strengthens the culture of craft brewing in Vermont through marketing, education, and advocacy for Vermont-made beer. With a growing membership of 55 breweries and a national reputation for craft beer excellence, the VBA hosts notable events such as the Vermont Brewers Festival and Vermont Craft Brewers Conference. In response to the rapid growth in the beer industry and increasing operational needs, the VBA is seeking a dynamic Marketing & Administrative Coordinator to support both the day-to-day operations and key events.
This position combines marketing, communications, administrative, and event support functions, offering a unique opportunity to work with a passionate team and directly impact the promotion of Vermont’s craft beer industry. The role is a mix of marketing execution, event logistics, member engagement, and executive support, requiring excellent organizational skills, creativity, and a strong attention to detail.
Overview:
The Marketing & Administrative Coordinator will support the Executive Director and festival management while overseeing a variety of marketing initiatives, event logistics, member communications, and office operations. The position demands flexibility, the ability to handle multiple projects simultaneously, and an interest in craft beer. This full-time role requires occasional travel to events and some weekend work. This role also requires a proactive, solutions-oriented individual who thrives in a fast-paced, collaborative environment.
Key Responsibilities:
Executive Director Support:
- Provide administrative support for the Executive Director, including scheduling meetings, managing correspondence, and taking notes at Board meetings.
- Assist in the creation of reports, grant proposals, and other materials.
- Help develop and maintain the VBA’s online presence, including website updates, social media content, and email campaigns.
- Support event coordination by assisting with logistics, securing venues, managing volunteers, and overseeing event-specific communications.
Marketing & Communications:
- Manage and create content for the VBA’s social media platforms, website, and monthly newsletters.
- Coordinate the development and distribution of promotional materials, including media kits, event flyers, and digital content.
- Assist with email marketing campaigns and manage member communications through email, newsletters, and social media.
- Help design basic promotional graphics using Adobe Suite, Canva, or similar tools.
- Create, manage, and secure sponsorship opportunities, including partnerships and exhibitors for the Vermont Brewers Festival and Vermont Craft Brewers Conference.
- Manage and design Vermont Brewers Association merchandise program.
Event Support & Coordination:
- Assist in planning and executing the Vermont Brewers Festival and other events throughout the year, including technical seminars, and member networking events.
- Coordinate logistics, including RSVPs, vendor management, and food and beverage coordination.
- Manage event-related data and assist with festival guides, mobile app content, and other festival communication tools.
- Onsite event support for the Vermont Brewers Festival & Vermont Craft Brewers Conference, as well as other seasonal events.
Office & Administrative Support:
- Oversee general office systems, including content management, email accounts, and file management.
- Provide day-to-day IT support and assist with maintaining a digital photo library.
- Organize and manage member visits, ensuring the timely distribution of promotional materials and up-to-date event information.
- Assist with accounts payable and receivable support, including compiling electronic documents for grant reporting and keeping financial records.
- Attend and contribute to staff meetings, providing insights and updates on ongoing projects.
Requirements:
- A minimum of 2-5 years of experience in marketing, event coordination, or administrative support, ideally in a nonprofit or craft beer-related field.
- Strong organizational skills with the ability to handle multiple projects and deadlines simultaneously.
- Proficient in social media platforms, email marketing software (Constant Contact, Mailchimp, etc.), and content management systems (WordPress, etc.).
- Basic design skills with proficiency in Adobe Suite (Photoshop, InDesign) or Canva.
- Experience in event planning, volunteer coordination, and working with vendors.
- Strong verbal and written communication skills, with the ability to communicate effectively with staff, Board members, volunteers, and external partners.
- Proactive self-starter with the ability to work independently and as part of a team.
- Comfortable working in a fast-paced, ever-changing environment.
- Knowledge of the craft beer industry is a plus but not required.
- Ability to travel occasionally to VBA events and meetings.
- A valid driver’s license is required.
Physical Demands:
- The ability to lift and move items up to 50 pounds.
- Required to stand, sit, talk, hear, and occasionally reach, stoop, kneel, or crouch.
Compensation & Benefits:
- $55,000, 40 hours/week (flexible schedule; evenings and weekends as needed for events)
- $75/month cell phone stipend.
